"With the cloud versions of these apps, we were able to transition quite seamlessly. They worked without us having to reconfigure them in any way. It was pretty much plug and play for us with the migration.”
Artem Taranenko, IT Technology Operations Analyst, Benevity
Benevity, a leading provider of global social impact software, recently embarked on a journey to migrate their Jira and Confluence instances to the cloud. This migration was a critical step in optimizing their workflows, streamlining processes, and ensuring collaboration across their diverse teams.
A critical part of their tech stack includes Jira Software and Confluence, complemented by JSU - Automation Suite for Jira Workflows and MultiExcerpt from Appfire. These tools played a vital role in streamlining processes and ensuring seamless operations during Benevity's transition from on-premises to Cloud.
Challenge: preparing for cloud migration
Artem Taranenko, the IT Technology Operations Analyst at Benevity, was tasked with leading the migration and clean-up efforts. Before migrating to Cloud, Benevity faced several challenges:
- A cumbersome Jira instance filled with legacy objects, unused custom fields, and dormant projects.
- The need to clean up and streamline workflows and other Jira components to prepare for the cloud environment.
- A review of all installed apps to ensure they were essential and cost-effective for the new cloud setup.
“As a technology company, we're very technology forward. We like to use technology where we can instead of doing things manually. So it was important for us to look at our apps that we have, and say, does this tool make our life easier? Should we keep those tools?”
Artem Taranenko, IT Technology Operations Analyst
Retaining and leveraging JSU and MultiExcerpt during migration
While reviewing apps installed on Benevity’s Jira and Confluence instances, Artem zoned in on JSU and MultiExcerpt. He quickly realized their indispensability to the company through many use cases:
JSU:
- Workflow Automation: JSU was crucial for creating validators, post-functions, and other automated actions within Jira workflows. This ensured tasks such as field copying, field clearing during transitions, and other essential operations were automated.
- Widespread Use: The extensive use of JSU across numerous Jira projects and workflows highlighted its value. Removing it would have necessitated manual interventions, increasing overhead and potentially disrupting workflows.
MultiExcerpt:
- Content Embedding: MultiExcerpt allowed the embedding of reusable content across Confluence pages. This was particularly useful for referencing subprocesses within larger processes, saving time and ensuring consistency.
- Content Integrity: Removing MultiExcerpt would have broken many Confluence pages, leading to significant clean-up efforts and loss of content integrity. The ability to embed up-to-date content without manual updates was a significant time-saver.
“If we removed these two apps, the question becomes, do we now need to do things manually? Do we need to potentially add overhead for us, add turnaround time for the migration completion? We weren't willing to do that.”
Artem Taranenko, IT Technology Operations Analyst
Results: seamless migration to the cloud
Artem made the case to utilize cloud versions of JSU and MultiExcerpt to help ensure the transition was executed smoothly. Both tools played a pivotal role in Benevity’s migration to the cloud, with Artem sharing the following updates:
- No Reconfiguration Needed: Both tools worked seamlessly in the cloud environment without requiring reconfiguration or troubleshooting, ensuring a smooth transition.
- Uninterrupted Service: Benevity experienced no lapses in service, maintaining the integrity and efficiency of their workflows and content management.
“It's important when you go from one version of the app to another that there is no lapse in service. There was no issue in making that transition. It was pretty much plug and play.”
Artem Taranenko, IT Technology Operations Analyst
Post-migration impact and benefits
Benevity’s migration to the Cloud was a testament to the power of the right tools in enhancing operational efficiency and ensuring seamless transitions. Utilizing cloud versions of JSU and MultiExcerpt provided several benefits:
- Efficiency: Automating workflows with JSU reduced manual efforts, allowing teams to focus on more strategic tasks.
- Consistency: MultiExcerpt ensured content across Confluence remained consistent and up-to-date, enhancing knowledge management.
- Cost-Effectiveness: By retaining only essential apps, Benevity optimized its software spend without compromising on functionality.
JSU and MultiExcerpt proved to be invaluable during the migration, supporting Benevity’s commitment to leveraging technology for streamlined operations and effective content management. This strategic move not only bolstered their internal processes but also reaffirmed their dedication to providing top-tier service to their clients, driving forward their mission of powering corporate social impact on a global scale.
