Meet TBC Bank

TBC Bank is the largest banking group in the Caucasus region and believes in using technology to create an exceptional, unique experience for customers.

Nika Melikidze, Software Support Service Expert, is a member of the Agile Expertise Center Team and is responsible for managing all of the company’s Jira and Confluence instances. From the content team to the back office and IT, everyone at TBC Bank uses either Jira or Confluence. Many teams at TBC Bank use either Jira or Confluence and the organization plans to continue to grow the number of people using the software.

The challenge

Since many teams at TBC Bank use Jira and Confluence to manage their work, the software is crucial in supporting the organization's productivity and efficiency. Nika’s job is to mold the two pieces of software to meet the needs of the teams.

For Jira, those needs included auto-assigning tickets to the right team members and customizing how data is calculated and stored in custom fields. While Nika already used basic workflow automation available in Jira, he needed a way to extend the native functionality and create more advanced transitions including post functions and conditions.

While some teams at TBC Bank used Confluence to store documents, the organization also relied on several other tools like Sharepoint to store wikis, internal documentation, and legal documents. To centralize their document management, leadership mandated that all documents be stored centrally in Confluence, with an approvals process in place, to ensure that all content was approved before being published and shared.

We are using JMWE for every workflow in our organization – I don’t know what I would do without it. It’s easy to use and I can make what I need in 5 minutes. JMWE saves me so much time, solves a lot of problems, and makes our lives much easier.

The solutions

Nika sought a solution to extend the native functionality of Jira. When evaluating Scriptrunner, Nika realized he would have to spend a significant amount of time learning the syntax and language of the app to be able to write automation scripts.

He found exactly what he needed in the Jira Misc Workflow Extensions (JMWE) by Appfire app. JMWE gave him the power and flexibility to meet the myriad needs of his stakeholders with an easy-to-use interface and a snippet-based, no-code approach. To date, Nika is customizing over 150 workflows with JMWE workflow extensions. 

With JMWE, Nika was able to easily add automated calculations to tickets that determined who the ticket was assigned to based on the priority level and the day of the week. This ensured that tickets were routed properly every time. Moreover, JMWE allows Nika to build automations at scale. With the Shared Actions functionality, he can efficiently reuse post-functions across multiple workflow transitions.

One of the biggest problems JMWE helped Nika solve was when Jira didn’t natively fill in the resolution date for a ticket when a specific transition occurred. This missing data prevented reports from being generated that were key to the organization’s processes. With JMWE, Nika was able to ensure the resolution date was filled as part of the workflow transition and that the reports were generated as a result.

For Confluence, Nika found that Comala Document Management by Appfire offered an efficient approvals system and improved version control and tracking over what Confluence had natively built in. To top it off, with its easy-to-use interface and custom configuration, the app helps Nika manage over 600 Confluence pages and is used by the entire company, including junior team members and the CEO alike.

Comala Document Management has workflow approvals, and better version tracking than Confluence. I don't need a high budget or separate team to administer the app. Comala is a simple, time-saving solution for everyone in our organization.
